Pricing
There is no price list on this page,
and here is exactly why.
Ultimate CRM and Ultimate HRMS are sold as a plan: a set of features plus three caps — how many centres, how many members, how many memberships. A single studio with two hundred members and a six-branch chain with nine thousand are not the same product, and pretending they cost the same helps neither of them. Four questions below, then a real number from a person.
01 / What a plan is made of
A feature set and three ceilings
Every screen in the software checks your plan before it opens. That sounds restrictive; in practice it means you are not paying for the modules you told us you will never use.
The three caps
- Centres
- How many gyms, studios or branches the login can hold
- Members
- How many member records live across them
- Memberships
- How many active memberships you can have running
Hit a ceiling and the software says so rather than quietly dropping the record. Ceilings are raised by us, on a call, not by a card on file.
The feature side
The rest of a plan is a long list of switches: which reports open, whether the member app is included, whether WhatsApp automation runs, whether biometric devices are wired in, whether Ultimate HRMS appears at all. A small studio usually turns most of them off and pays accordingly.
Two things sit outside the plan and are worth budgeting separately: the biometric terminals themselves, which you buy as hardware from a supplier, and any WhatsApp add-on engine if the default one does not suit your volume.
02 / What moves the number
Five things change a quote. Nothing else does.
| What we ask | Why it changes the price |
|---|---|
| How many members you carry | It is the cap that binds first for almost everybody, and the one that grows. |
| How many locations | Each is its own set of books with its own invoice numbering, reached from one login. |
| Whether you want the member and trainer apps | Workouts, diet, in-app check-in QR, community and challenges are a distinct block. |
| Whether biometric check-in is in scope | Device setup and the migration wizard are work we do with you, once. |
| Whether you want Ultimate HRMS | HR and payroll is a separate module, switched on per centre, off by default. |
03 / Get the number
Four questions and a phone number
This goes to the sales desk in Mohali. Someone reads it and calls back, usually within a working day, with a figure rather than a brochure.
Would rather not fill in a form? Email crm.sales@proultimate.com or call +91 90565 26470, 10am to 7pm IST, Monday to Saturday. Say your member count and how many branches; that is enough to quote from.
04 / Before you ask
The five questions every call starts with
Do I pay per member?
Not per head. Your plan has a member ceiling and you sit under it. When you outgrow it, we move you up a step; the price changes at that point and not on the day you enrol your 501st member.
What happens to my data if I leave?
Members, memberships, payments and attendance all export. Ask on the call and we will show you the export screens before you buy, not after you want to go.
Can I start with one branch and add more?
Yes. Branches are added to the same login and each keeps its own members, invoice series and reports. There is no group-level rollup view sitting above them, which is worth knowing if consolidated reporting is the reason you are switching.
Is the member app included?
It is part of the app block, not automatically part of every plan. It carries check-in, workout and diet plans, body measurements, the community feed and challenges. Decide on the call; it is one of the switches.
What do the biometric devices cost?
They are hardware and you buy them from a supplier, not from us. What we quote for is wiring them in: eSSL and ZKTeco units on the ADMS push protocol, set up through a wizard where you type the serial off the box. If you already own compatible terminals, say so — that is a line item you may not need.
