Everything else on this site is software, and every claim on those pages points at the code that does it. This page is a service, delivered by people, and there is no code to point at. So it is written differently: here is the work, here is who does it, and here is the one part of it that is wired into the software you already have.

01 / Before anything else

What used to be on this page

A case study. An unnamed “fitness celebrity”, a reach figure, an engagement figure, and a conversion value quoted to the cent. Also a viral-video statistic, three review badges nobody could click, and a partner certification.

All of it is gone. Not softened — gone. Not one of those numbers could be traced to a client who had agreed to be quoted, and a figure you cannot attribute is worth less than no figure at all, because the first thing a competent buyer does with it is ask whose it was.

If you want to see results before you spend anything, ask on the call. We will introduce you to a gym we currently run ads for and you can ask them directly, which is the version of a case study that survives a follow-up question.

What we are. A small in-house team inside Ultimate Software Solutions, not an agency with a hundred accounts. That cuts both ways: we spend all day inside the CRM that 305 gyms and studios run their memberships on, so we know what happens to a lead after the click better than a general agency does, and we take on a limited number of gyms at a time. If we are full, or if what you need is outside what is listed below, you will be told on the first call rather than three weeks in.

02 / The work

Nine things, described plainly

What each service means in practice. No service on this list includes a guaranteed position, a guaranteed lead volume or a guaranteed cost per lead, because none of those are ours to guarantee.

Web design and development A site or a landing page built to take an enquiry, with the form posting into Ultimate CRM rather than into an inbox. Photographs of the gym, your plan list, and a domain.
Social media marketing A posting calendar, the artwork, and the community management on the accounts you name. Page admin access, and someone at the gym who can answer a DM about a price.
Pay per click Search and Meta campaigns, the ad copy, the audiences, and weekly management. Lead-ad forms wire into Ultimate CRM — see section 03. The ad budget, paid to the platform directly, and billing access.
Online reputation management Asking members for reviews at the right moment, monitoring what arrives, and drafting replies for you to approve. Approval on the replies. We do not post as you without it.
Content writing Blog and social copy on the subjects your prospects search for, written to a schedule you sign off in advance. Twenty minutes a month with a trainer, so the content is not generic.
Video production Short-form edits from footage shot at your gym, cut for the platform they are going on. Access to the floor to shoot, and releases from anyone on camera.
Email marketing Campaigns to your member and enquiry lists — offers, new equipment, reactivation. The list, and confirmation that the people on it opted in.
Conversion rate optimisation Landing page changes tested one at a time against enquiry volume, not against a vanity metric. Patience. This one takes months to say anything trustworthy.

03 / Where the service meets the software

A lead ad that lands in Ultimate CRM, not in a spreadsheet

This is the only claim on the page with code behind it, and it is the honest reason to buy the ads from the people who built the software you run the gym on.

  1. Someone fills in the lead form on your ad

    Facebook or Instagram. They never leave the app, which is why lead ads convert better than sending people to a landing page — and also why the leads usually end up in a CSV nobody downloads.

  2. Meta calls our webhook within seconds

    The platform receives the notification, reads the lead back from Meta, and creates the enquiry against your gym. Retries are de-duplicated, so a repeated notification does not give your front desk the same person twice.

  3. It arrives as a hot enquiry with a source on it

    Not a row in a file. A member record tagged FB_LEAD, with a follow-up already scheduled against a named staff member, sitting in the same list your desk works through every morning.

  4. The reports read that tag back

    Lead source attribution, enquiry-to-member conversion, and conversion by staff member. So the argument about whether the ads are working is settled from your own membership sales rather than from a screenshot of the ad platform.

  5. And the follow-up messages fire on their own

    A welcome message on the new enquiry, then renewal and balance reminders once they join — from your gym’s own WhatsApp number, in wording you edit yourself. Spending on ads and then losing the lead to a missed callback is the expensive part, and this is the part that stops it.

Two limits worth knowing before you rely on it. The Meta connection is set up per gym by us, by hand — it is not a button in your dashboard. And WhatsApp messages go out through your own WhatsApp session, connected by scanning a QR code once, not through Meta’s Business Platform. Nobody can promise you a delivery receipt on that, and we do not.
